The primary focus of Project Management Executive role is to help organise the Digital Content Team and wider Marketing Department so that we consistently deliver timely content to a high standard. You will work closely with the Digital Content Manager, working within an agile project management structure to assign tasks, set deadlines, and ensure the entire team is working productively and efficiently. A large part of this role involves managing the logistics of our photo and video shoots, from location hire to catering, model bookings to prop hire, and you will be required to manage all administrative requirements for these shoots in an efficient, cost-effective, and timely manner.
Responsibilities
- Manage the entire logistical and administrative process of arranging photo and video shoots - including location hire, model bookings, prop hire, and more.
- Be flexible, proactive, and use your initiative to organise shoots at short notice but still within budget and to the specified requirements.
- Attend shoots to oversee logistical requirements so that the shoots run as smoothly and as efficiently as possible.
- Update the marketing calendar under the guidance of the Digital Content Manager.
- Ensure all Monday.com boards are kept up to date. Monday.com is the project management software that we use, therefore experience with this is desirable but not essential.
- Keep a close eye on all marketing deadlines and be proactive in ensuring the team meets their deadlines.
- Arrange and prepare agendas for key meetings, during which you will take notes to then distribute to relevant team members.
- Build relationships with internal and external partners to ensure communication across all key business stakeholders and ensure that objectives are met in a timely and efficient manner.
- Oversee the organisation of our digital asset management software to ensure all assets are accurately uploaded and tagged.
- Be proactive in helping the Marketing Team continuously reflect and improve so that we can become more effective in our roles and increase productivity, collaboration, and quality.
Requirements
- Highly organised and with excellent attention-to-detail.
- Ability to manage multiple projects, ensuring all deadlines are met.
- Able to prioritise, understand deadlines and respond to work with urgency.
- Enthusiastic, conscientious, and with a strong desire to learn.
- Self-motivated with a clear sense of ownership.
- Excellent verbal and written communication skills.
- Confident and articulate when communicating with partners across all levels.
- Able to build and maintain relationships with internal and external partners.
- Excellent knowledge of MS Office - including Excel, PowerPoint, and Word.
- Strong computer literacy and an understanding of the digital world.
- An interest in beauty is not essential but certainly very desirable.
- Experience working with Monday.com is desirable but not essential.
