The Tweakments Guide is a content and e-commerce business focused on aesthetic beauty treatments and skincare. We are a tight-knit, supportive team looking for a proactive individual to join as our Team Assistant. In this role, you will support our team and ensure smooth operations and effective collaboration. Your responsibilities will cover a wide range of tasks, assisting all team members in achieving their objectives. This is an excellent opportunity for a first or second jobber who is looking to learn and grow within a fast-paced small company environment.

Responsibilities include:

• Assist with administrative tasks, including but not limited to scheduling meetings, preparing documents, and organising files.
• Maintain team calendars, ensuring timely updates and scheduling adjustments.
• Facilitate information flow within the team, ensuring everyone is informed of relevant updates, deadlines, and milestones.
• Support project management, including tracking progress, updating project documentation and following up on action items.
• Conduct research, gather information and prepare presentations.
• Deal with internal and external enquiries professionally and promptly, routing them to the appropriate team members or responding directly.
• Take on ad hoc responsibilities, demonstrating flexibility and a willingness to learn.
• Coordinate with the warehouse team and suppliers to restock inventory
• Respond to customer queries, complaints, and issues promptly and professionally
• Organise the set-up of affiliate links and track affiliate program performance.

Requirements:

• Strong organisational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Excellent communication skills, both written and verbal, with the ability to interact professionally with team members and external stakeholders.
• Proficiency in using office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration platforms (e.g., Microsoft Teams, Slack).
• Detail-oriented mindset, ensuring accuracy and thoroughness in all tasks and deliverables.
• Proactive and self-motivated, demonstrating a willingness to take on new challenges and learn from experience.
• Ability to work effectively both independently and as part of a team, collaborating with colleagues to achieve shared goals.
• Strong problem-solving skills, with a solution-oriented mindset and the ability to adapt to changing circumstances.
• Prior experience in an administrative or assistant role is desirable but not required.
