O Beach Ibiza - Events Assistant

Job Summary:

Managing operational and administrative functions to ensure event planning runs smoothly according to requirements. To assist in the planning of the events from start to finish to ensure events are successful and exceed the expectations of target audience while also reaching company objectives and paying attention to budget and time constraints. 

Main Duties and Responsibilities: 

  • Assist in development of production and delivery of events from creative proposal through to delivery according to requirements, objectives and target audience. 
  • Assisting in the delivering of events on time, within budget while also meeting or exceeding expectations. 
  • Managing administrative functions including but not limited to artist itineraries, contracts and event itineraries.
  • Ensuring DJ and Entertainment contracts are completed to Spanish legislations. 
  • Provide assistance with maintaining event budgets. 
  • Managing supplier relationships including sourcing and negotiating necessary elements with vendors and suppliers. 
  • Communication with event partners to ensure events fulfill external brand guidelines and ensure brands are representing the events to their full exposure also.  
  • Liaise with marketing and PR with regards to promoting the events to ensure maximum exposure and sales. 
  • Liaise with Tickets Manager and ticket agents to ensure sales are being maximized for each event.  
  • Analyze the event's success and produce reports 
  • Research skills to identify event opportunities, understand the market, and generate interest. 
  • Proactive approach to handling issues and troubleshooting any emerging problems on the event day. 
  • Have managerial abilities to organize staff during events and coordinate their activities. 
  • Enthusiasm regarding collaborative work with marketing and PR departments to promote and publicize events. 
  • Hospitality skills to communicate and look after artists and DJ’s booked for events. 

Hiring Requirements:

  • Ability to use initiative in fast paced environment / live event environment 
  • Reliable and good at hitting deadlines 
  • Experience in excel and managing budgets 
  • Excellent and proven administration skills. 
  • Outstanding communication skills 
  • Multi-tasker 
  • Display good problem solver 
  • Excellent organization skills 
  • Proficient project management skills 
  • Sound knowledge of marketing 

Personal Characteristics:

  • Ability to work in a fast-paced environment with interchangeable hours which has a tendency to require employees to dedicate time outside of office hours
  • Demonstrate a good ability to be a team player as well as be a self-motivated individual. 
  • A good eye for detail 
  • Be quick-thinking with creative ideas in a live event environment in which immediate trouble shooting may be necessary 
  • Possess creativity as a skill 
  • Be extrememely organised 
  • Display a keen interest in house music events 

Terms: 

  • Contract period: April 2019 start
  • Location: Ibiza Office summer and flexible during winter period
  • Basis: Full Time
  • Salary P.A:
