Role description:

Jo Malone London is currently recruiting for a Coordinator, Global Communications to join the Global Communications team at the brand’s Head Office in London. The position will be supporting the Events and Communications team in the successful execution of first-class events, communications, campaigns for Jo Malone London globally and report to the Assistant Managers for Communications & events.

The successful candidate must be highly organised with a meticulous eye for detail in addition to having excellent communication skills, both written and verbal. The ability to multi-task and prioritise is a key part of the role, therefore the ideal candidate must be proactive, fast thinking and possess a can-do attitude with a flair for style and creativity.

The position will be responsible for:

Communications

  • Supporting the smooth day-to-day running of the Global Communications department, providing enthusiastic, reliable, and accurate support to the wider team
  • Maintaining a strong understanding of global campaigns, product launches and their positioning within the brand
  • Supporting specific Global programs and inputting into Activation Briefs, CRQs and GTM decks - attending relevant meetings as a department representative when required and taking responsibility of the delivery and cascade of assets to markets
  • Promptly and professionally respond to internal and external correspondence - requesting guidance from the wider team as and when required
  • Ensuring all communications assets are uploaded in a timely manner to the Adobe Dam for regions and markets to utilise accordingly, as well as downloading assets onto Global Communications servers
  • Attending and actively contribute to internal and regional meetings - setting the agenda points and distributing minutes accordingly when required
  • Ensuring regional and market requests are dealt with efficiently and thoroughly, whilst providing ongoing support to respective regional teams - requesting guidance from the wider Global Communications team as and when required

Events

  • Supporting the smooth day-to-day running of the Global Events department, providing enthusiastic, reliable and accurate support to the wider team
  • Ensure logistics and agendas are in place for all shoots
  • Stay up-to-date on competitor branded content establishing best practices and key learns
  • Support with ad-hoc event execution from product sourcing, logistics, agendas, crib sheets and event production assistance.

Reporting

  • Support the Global Communications team by overseeing the submissions and review of regional and market reports to highlight successes, learnings and the overall impact of key campaigns
  • Contribute to campaign and event reports or recaps when required
  • Monitor brand coverage and collate summaries to cascade to the wider team
  • Ensure that influencer campaigns are tracked and reports are collated using influencer analytic tools
  • Regularly collate communications, and influencer marketing industry news and competitor insights by researching, analysing and reporting findings to the wider team

Admin

  • Maintain a high level of presentation and attention to detail in preparation of documents, emails and general presentation
  • Keep all files tidy and easy to navigate ensuring all decks and images are saved and filed in the relevant SharePoint and server folders
  • Schedule in-person and virtual meetings as and when required. Organising the agenda’s, taking minutes, cascade to attendees and following up on action points where necessary
  • Organise product sends on behalf of the department
  • Support the team with ad-hoc administrative duties when required
  • Book and organise logistics for international travel, providing thorough agendas and supporting documentation as required to ensure teams and guests are well equipped
  • Managing and raising purchase orders
  • Support the brand by overseeing the collation of assets for ELC archive
  • Support the Communications team with any internal and external gifting of product

Stock

  • Managing stock cupboard and ensuring stock takes are regularly carried out, ordering via FOC system
  • Liaise with GBSC (global supply chain) and warehouse teams to obtain pre-launch stock and ensure FOC orders for new products are placed and input into relevant trackers
  • Complete product forecasting for all programs
  • Proficiently use the GMW (global marketing website) platform, cascade all upcoming programs to the wider team and proactively communicate any changes within product/campaign launches
  • Work collaboratively with Global Product Marketing to arrange comps and lab samples to be sent to markets in line with program timelines

The ideal candidate will:

  • Have 2 years previous experience within the communications or events industry and a strong understanding of the communications and influencer landscapes
  • A willing and enthusiastic team player
  • Ability to handle multiple tasks simultaneously in a high-pressure, fast-paced environment and manage time efficiently in order to meet deadlines
  • Organised, highly motivated and proactive with a solution driven mind set
  • Faultless attention to detail
  • Ability to work effectively and skilfully with teams and key stakeholders across the wider business
  • Proficient in the use of Microsoft Office 365 (Teams, Word, Excel, PowerPoint, SharePoint)
  • Excellent written and verbal communication skills
  • Develop a clear understanding of the brand, communications function and campaign plans
