Job Description:

The Receptionist / Administrator is responsible for providing first class support for the London office and Commercial Team.

Duties and Responsibilities:

  • Supporting the EA / Office Manager with general administration for the Senior Directors as well as general office management / facilities related duties
  • Managing the Reception area; including meeting / greeting all visitors, answering all incoming calls on the switchboard and office opening / closing procedures
  • Managing incoming and outgoing post, parcels / deliveries and assisting with both electronic and postal mail outs
  • Managing the London office meeting room supplies and logistics including diaries, set ups / clear downs and ensuring any purchases are within budget
  • Assisting with financial administration including purchases, credit card statements and expenses
  • Assisting with New Starters Induction process
  • Assisting with the organisation of Company events, corporate events and staff sales (as required)
  • Working closely with the Commercial Team in relation to the New Brands process including monthly presentation packs and liaising with Brands directly
  • Assist in setting up of Vendors for the Commercial Team (liaising with Brands directly) 
  • Assist in file management of Brand Contracts
  • Managing the Competitors weekly report 
  • Managing the Commercial contact list and brand organisation charts
  • Managing the incoming charity requests under the supervision of the EA / Office Manager.
  • General ad-hoc administrative duties as and when required.

Skills / Qualifications:

  • Must have and demonstrate first class communication skills.
  • Attention to detail and high standard of accuracy.
  • Professional and presentable with a confident nature.
  • Outstanding organisational, accuracy and prioritisation skills including the ability to work to deadlines.
  • A strong team player.
  • A good knowledge and / or interest of the beauty industry may be advantageous.
  • Knowledge of Word, Outlook, PowerPoint and Excel.
  • Ability to work professionally in a fast paced and demanding environment.
